JOB TITLE: Manager, postgraduate training recruitment and examinations
RESPONSIBLE TO: Operations Manager, Postgraduate Training
PURPOSE
Play a key role in fulfilling the objectives of the Postgraduate Training Department and to support the Dean of Education and Clinical Leads in the department in managing the operations and administration of the College Postgraduate Training Department.
OBJECTIVE
Managing the efficient and effective administration of postgraduate training recruitment and the BST clinical examination. To assist the Chief Examiner, the Dean of Education, and the operations manager in developing and enhancing the processes, structure and delivery of the College’s postgraduate training programmes.
KEY RESPONSIBILITIES
The successful candidate will be responsible for managing the efficient and effective administration of postgraduate training recruitment and the BST clinical examination, and any other processes relating to postgraduate training.
- Collaborate with the Operations Manager, Dean of Education and Chief Examiner in developing and enhancing the processes, structure and delivery of exams and recruitment processes.
- Manage, lead, motivate and develop team members towards achieving agreed objectives and provide feedback
- Delivery of the BST clinical examination, ensuring there is effective planning and communication throughout the process.
- Delivery of recruitment and selection process for postgraduate training programmes, ensure there is effective planning and communication throughout the process.
- Ensure high standards of effective and appropriate communication are being met by the team with key stakeholders, i.e. Trainees, Examiners, Exam Sub-Committee Members, Appeal Panel Members, Interview Panel Members, Vice-Deans, HSE Personnel etc.
- Maintenance and development of the College online marking software, eLearning and digital media platforms relevant to examinations and recruitment with external vendors.
- Contribute to the strategic planning for the department and organisation, translate agreed strategic objectives into an operational work plan
- Continuously improve the effective and efficient governance, management and administration in the department. Develop and enhance the processes, structure and delivery of the College’s clinical examination.
- Develop excellent working and collaborative relationships and communication channels with all key stakeholders, internal and external
- Ensure projects progress in line with stated objectives and timescales and are managed in accordance with agreed project methodologies
- Build a professional reputation for excellence in the development and delivery of Postgraduate Training.
PERSON SPECIFICATION
Essential Skills
- Previous experience in a similar role.
- Educated to degree level standard or equivalent.
- Ability to forge and manage key stakeholder relationships
- Self-starter with high motivation, flexibility and the ability to offer a results-oriented approach with high levels of drive, commitment and enthusiasm.
- Ability to work with minimal direction.
- Experience of working in team lead role
- Experience in managing events
- Excellent oral/written communication skills and interpersonal skills
- Strong attention to detail.
- Strong communication and interpersonal skills combined with sound judgment are required to facilitate work with a wide range of individuals and groups.
- Outstanding organisational, prioritization and multi-tasking skills with a proven ability to work under pressure to achieve goals within agreed timeframes.
- Evidence of managing own workload and involvement in quality improvement.
- Strong IT capability, proficiency in Microsoft Office.
Desirable Skills
- Knowledge of, or experience working in, a postgraduate training or medical environment.
- Experience with eLearning and digital media platforms.
